This Privacy Policy explains how the University of Zambia Engineering Society (UZES) member system ("the app") collects, uses, and protects your information. The app is an internal system for students of the UNZA School of Engineering and is operated by UZES.
What we collect
- Identity details you provide when registering: your full name, email address, computer/registration number, gender, year of study, and department.
- A photo of your student or national ID, uploaded at registration so the Patron can verify your identity before approving your account. This is temporary: it is deleted automatically once your registration is approved or declined.
- Payment proof images you upload when submitting membership dues or other payments, used to issue receipts.
- A CV/curriculum vitae, only if you use the industrial-attachment placement feature.
- Basic account activity needed to run the service: for example, notification read status, and (for administrators) an activity log recording who performed key actions and when.
How we use it
- To manage society membership and your account.
- To process payments and issue receipts.
- To run society elections (where eligibility and voting are managed).
- To coordinate industrial-attachment placements and generate letters.
- To send you service-related notifications and emails (for example, confirmation that a payment was received, or that your registration was approved).
How your data is stored and who processes it
The app relies on trusted third-party services to operate:
- Google Firebase (Authentication and Firestore database): stores your account and profile data and handles sign-in, including "Sign in with Google" where you choose to use it.
- Cloudflare R2: stores uploaded files such as payment proofs and (temporarily) your ID document.
- A Google Apps Script email relay: sends service-related emails (receipts, approvals, election confirmations).
"Sign in with Google" only shares your name, email address, and profile picture with the app for the purpose of verifying your identity. It does not give the app access to your Google account contents.
How long we keep it
- Your uploaded ID document is deleted automatically as soon as your registration is approved or declined.
- Your account and profile data are kept while you remain a member, and removed when your account is deleted.
- Notifications and similar records expire automatically over time.
Your choices
You can request access to, correction of, or deletion of your account data by contacting us. Removing your account removes your associated profile data from the system.
